Additional Field Attributes
When you are creating a field, you must select a field type. Based on this type, you also need to select options in the Additional Attributes area of the New Field dialog. Note that not all attributes appear for all field types.
The additional field attributes are:
- A field Prompt containing additional information or instructions to help guide the user when they are entering data into this field; you can enter up to 80 characters
- Required – select this option to designate this field as mandatory, so that the user must complete this field before they can proceed
- No User-Edit – select this option to prevent the end user from editing the value in this field after the initial data have been imported
- Locale – the language of the field, listed by country; if there is no specific language that applies to this field, select Neutral
- Scope – the extent to which the value entered into this field will be written to other occurrences of this field within the form set; the possible values are Form, Global, and Section
- If you select Form, then the data entered into this field will be written to all the fields with the same name throughout all the sections within the form
- If you select Global, then the data entered into this field will automatically be written to all fields with the same name throughout all the sections and forms within the form set
- If you select Section,then the data entered into this field will be written only to the field within this section
- Search Tags – associate a search tag(s) with the field
- Redact Tags – associate a redact tag(s) with the field
- Can Grow – select this option to enable the paragraph to wrap when the length of the paragraph text and variable data or user entered data makes it necessary – applies only to Multiline Text fields
- Can Span – select this option to enable the paragraph to span pages when the length of the paragraph text and variable data or user entered data makes it necessary – applies only to Multiline Text fields
- Paragraph List – associate a paragraph list (from the document's Workspace Definition File) with the field; this option is only available for Multiline Text field types

- Length – the length of the field – the maximum value is 1,024 characters. Multiline text fields have no assigned length. The maximum length for a (Y)es or (N)o field type is 1
- Format – the format of the field – applies only to Date Format, Numeric Format, Numeric\Text Format and Time Format fields
- Separator – the character used as the separator in Date Format and Time Format fields
- Year Size – the length of the year in Date Format fields which contain YY in their format
- Possible values are 2, 4 or Default
- Date format fields with YYYY or Yr are not affected by this setting
The following Additional Attributes are displayed when Type is Multiline Text and a Paragraph List is selected from the drop-down list:

No Tab – Select this option to prevent Documaker Workstation from automatically advancing to the next field after selecting a paragraph.

Single Pass – Select this option to prevent the user from re-entering the field and making changes after he or she selects a paragraph.

Keep Selection – Select this option to make the Paragraph Selection window retain the previously selected paragraphs in the Selected Paragraphs area.

Only Empty – Select this option if you want the Paragraph Selection window to appear only when the text area is empty. If the system detects that the field contains data, it will not display the Paragraph Selection window.

Zero Selection – Select this option to enable the Paragraph Selection window’s Replace button. If the button is pressed when the Selected Paragraphs area is blank, the Paragraph Selection window will be cleared.

Unique Fields – Selecting this option causes an embedded field within this field to be assigned a unique name. This prevents matching or duplicate field names on a Section. A rolling number is assigned to the end of the embedded field name.

Manual Popup – Selecting this option disables the Paragraph Selection window from automatically opening whenever the field is selected. Users will need to use the F4 key to open it.

Allow Use – Select this option to determine which buttons will be visible on the Paragraph Selection window.
- Append Only – The Append button is displayed and selectable on the Paragraph Selection dialog. After selecting the desired paragraphs on the Paragraph Selection dialog, click the Append button to append the selected paragraph(s) to existing text in the multiline text field
- Append/Replace – Both the Append and Replace buttons are displayed and selectable on the Paragraph Selection dialog allowing the user to either append the selected paragraph(s) to existing text in the multiline text field or replace existing text in the multiline text field with the selected paragraph(s).
- Replace Only – The Replace button is displayed and selectable on the Paragraph Selection dialog. After selecting the desired paragraphs on the Paragraph Selection dialog, click the Replace button to replace existing text in the multiline text field with the selected paragraph(s).

List Presentation – Select this option to determine how the Paragraph Selection window displays Paragraphs.
- Description Only – only the Paragraph Description is shown on the Paragraph Selection dialog
- Description then Name – the Paragraph Selection dialog shows the Paragraph Description first, then the Paragraph Name
- Name Only – only the Paragraph Name is shown on the Paragraph Selection dialog
- Name then Description – the Paragraph Selection dialog shows the Paragraph Name first, then the Paragraph Description

No Editing – Check this option to prevent users from manually editing the Field beyond paragraph selection. Changes to the Field are allowed only through Paragraph Selection window.
